When a customer requests a custom fixture for a low-volume CNC job or a 3D-printed assembly jig, the quoting approach needs to match the actual work involved. Here’s how to build a repeatable process that captures real costs without slowing down response time.
Why Tooling Quotes Go Wrong
Standard part quoting relies on geometry-driven inputs: volume, surface area, bounding box, machine time. Jigs and fixtures break those assumptions. A simple-looking alignment fixture might require:
- Multi-axis machining for datum features
- Heat-treated tool steel or hardened inserts
- CMM inspection of critical dimensions
- Design engineering time for clamp layout and clearance
- Iterative prototyping before production
If your quote engine only sees “aluminum block, 500 cm³,” you’ll miss most of the cost drivers.
Separate Design Effort From Production Cost
The biggest gap in tooling quotes is design time. A production part might need zero engineering — the customer supplies a print-ready STEP file. A fixture often needs:
- DFM review of the customer’s part to identify clamping surfaces
- CAD work to design the fixture body, locators, and clamps
- Simulation or interference checking
- Revision cycles as the customer validates the design
Build a separate line item for “Fixture Design & Engineering” with tiered rates: basic (2-4 hours), standard (4-8 hours), complex (8+ hours). Tie each tier to specific deliverables — 2D drawings, 3D model review, first-article inspection plan — so the customer sees what they’re buying.
Use Parametric Templates for Common Fixture Types
You don’t need to start from scratch every time. Most shops build the same fixture categories repeatedly:
- CNC machining vises and soft jaws
- CMM inspection fixtures
- Welding and assembly jigs
- 3D printing build plates with custom supports
- Paint/masking fixtures
Create parametric quote templates for each type. Input variables might include: number of locating features, clamp count, material grade, tolerance band, inspection requirements. The template outputs a baseline price that you can adjust for edge cases. This turns a 30-minute quoting exercise into a 3-minute one while keeping accuracy high.
Account for Material and Process Specifics
Fixture materials behave differently than production parts. Common scenarios:
- Tool steel / pre-hardened alloys: Longer machining time, higher tool wear, possible EDM for fine details
- 3D-printed tooling (nylon, carbon fiber, high-temp resins): Build orientation affects strength; post-cure cycles add lead time
- Modular fixture systems: Base plates, clamps, and locators from systems like Mitee-Bite or Big Daishowa — quote as kit + integration labor
Your quote engine should have material-specific rate cards that include machine time multipliers, tooling allowances, and typical scrap rates for each fixture material category.
Build In Inspection and Validation Costs
A fixture that holds ±0.01 mm costs more to validate than one at ±0.1 mm. Include inspection as a configurable option:
- First-article CMM report (standard)
- In-process checks at critical features
- Functional test with customer’s part (if provided)
- Certificate of conformance
Make these selectable in your quote form so the customer chooses the validation level — and pays for it. Default to the minimum your quality system requires.
Link Tooling Quotes to Production Quotes
The fixture quote shouldn’t live in isolation. When a customer requests a quote for 50 machined parts and the fixture to hold them, your system should:
- Show the fixture as a separate line item with its own lead time
- Amortize the fixture cost across the production run (or show per-part impact)
- Flag if the fixture lead time gates the production start date
- Track fixture ownership — customer-owned vs. shop-owned — for future reorders
This visibility helps operations schedule correctly and gives sales a clearer picture of total project margin.
