Most shops can quote a production part in their sleep. Material, machine time, tooling, overhead — the variables are familiar and the process is repeatable. But when a customer asks for a custom jig, fixture, or inspection gauge, the same confidence often evaporates.

The reason is simple: jigs and fixtures are one-off engineering projects disguised as manufacturing jobs. They carry design risk, validation loops, and revision cycles that production parts don’t. If you quote them like standard parts, you’ll either lose the bid by overpricing or lose money by underpricing.

Why Jig and Fixture Quoting Breaks Standard Models

Production quoting assumes repeatability. You’re making the same thing dozens or thousands of times, so setup amortizes and process variability shrinks. Make the validation criteria explicit in the quote: “Fixture holds part within ±0.005″ true position per drawing X, verified on CMM.” This prevents scope creep when the customer asks for tighter tolerances after the fact.

Phase 3: Maintenance and Revision Reserve

Offer an optional annual maintenance retainer or a pre-paid revision bank. For example: “Includes up to 4 hours of design/modification time for engineering changes within 12 months. Additional time at $X/hr.”

This does two things: it creates recurring revenue, and it forces the customer to acknowledge that fixture modifications are billable work — not warranty claims.

Capture the Hidden Costs Your Competitors Miss

Beyond the three phases, four line items frequently go unquoted:

  1. Customer-furnished part handling: Receiving, inspecting, storing, and returning the customer’s part for fit checks. Minimum 1 hour labor + dock-to-stock time.
  2. Soft tooling and consumables: 3D printed prototypes, sacrificial alignment pins, shim stock, thread inserts. Add a 15% consumables surcharge on material.
  3. Documentation package: Assembly drawings, BOM, inspection report, maintenance instructions. 1-2 hours of technical writing.
  4. Project management: For fixtures over $5k, add 5-10% for coordination, status updates, and schedule management.

Use a Tiered Pricing Template

Create three fixture tiers in your quoting system so estimators don’t start from zero each time:

Communicate Value, Not Just Cost

When presenting the quote, lead with what the fixture enables: “This fixture reduces your per-part setup from 45 minutes to 3 minutes, saving $X per batch at your volume.” Frame the validation phase as risk reduction: “First-article verification ensures zero scrap on your first production run.”

If the customer pushes back on price, you have clear levers: reduce revision rounds, remove the maintenance reserve, or simplify the design tier. You’re negotiating scope, not margin.
