The difference isn’t just “more labor.” Assembly introduces fasteners, adhesives, inspection steps, packaging requirements, and coordination across multiple processes. Each adds cost and risk. Here’s how to build quotes that capture the full scope.
Break the Bill of Materials into Quoteable Lines
Start by separating the BOM into three categories: fabricated parts, purchased components, and assembly consumables. Fabricated parts get quoted with your standard process rates — machine time, material, setup, and post-processing. Purchased components (motors, bearings, electronics, fasteners) need a markup policy: cost plus a handling percentage, or a flat fee per line item. Assembly consumables — threadlocker, lubricant, zip ties, heat-shrink tubing, labels — are often missed. Create a standard kit list per assembly type and apply a small consumable kit charge.
Define Assembly Labor as Discrete Operations
Don’t lump assembly into a single “assembly hours” line. Break it into operations: mechanical fastening, adhesive bonding, electrical termination, cable routing, torque verification, functional testing, and final inspection. Each operation has a different skill level and time requirement. Use historical data or time studies to set standard minutes per operation. Account for Fixturing and Tooling
Assembly often needs custom fixtures: holding nests, alignment jigs, torque reaction arms, test stands. These are real costs. Quote them as separate line items — design time, fabrication time, and material. If the fixture is reusable across a production run, amortize it over the expected volume. If it’s a one-off prototype assembly, the full cost goes into that quote.
Build in Inspection and Quality Gates
Assembly quality isn’t just dimensional. It includes torque records, continuity tests, pressure checks, firmware flashes, and cosmetic standards. Define the inspection plan upfront: which operations get 100% checks, which get sampling, what documentation the customer requires (FAIR, PPAP, certificates of conformance). Each gate adds labor time and may require calibrated equipment. Quote it explicitly.
Handle Packaging and Kitting Logic
Kitting means gathering components — fabricated, purchased, consumables — into a defined package: labeled bags, partitioned trays, foam inserts, anti-static shielding, custom boxes. Packaging design time, materials, and labor are quoteable. If the customer supplies packaging specs, review them for feasibility. If they don’t, propose a standard method and quote it. Don’t forget shipping prep: palletizing, strapping, freight class determination.
Manage Customer-Furnished Components
Customers often supply motors, PCBs, or specialty fasteners. Your quote must address receiving inspection, inventory tracking, shortage handling, and return logistics for unused parts. Charge a receiving and kitting fee per customer-furnished line item. Specify lead-time requirements for their parts to arrive before your assembly start date — delays on their end shouldn’t eat your margin.
