Why Garbage In Still Means Garbage Out

Quoting software can calculate cycle time, material cost, and machine rates to the penny. But if the RFQ doesn’t specify heat treatment, surface finish, or whether the customer supplies material, the quote is a guess dressed up as math.

Digital manufacturers see this constantly. A CNC shop quotes 6061-T6 but the part needs 7075. A 3D printing service quotes PA12 but the application needs flame-retardant ULTEM. A sheet metal shop quotes laser-cut flat patterns but the customer expected formed assemblies.

Each mismatch means rework, schedule slips, or margin erosion — sometimes all three.

What a Complete RFQ Actually Looks Like

Most customers don’t withhold information maliciously. They just don’t know what you need. A structured intake form shifts the burden from “figure it out” to “fill this out.”

At minimum, every RFQ should capture:

  • Material specification (grade, temper, certification requirements)
  • Critical tolerances and datums (not just “standard tolerance”)
  • Surface finish and post-processing (anodize, powder coat, heat treat, threading)
  • Inspection requirements (FAI, CMM, material certs, PPAP level)
  • Customer-supplied vs. shop-sourced material
  • Packaging and shipping specs (ESD, custom crates, drop-ship)
  • Revision level and change authority (who approves deviations?)

If your quote form doesn’t ask for these, your estimators are improvising.

File Validation Before the Quote

CAD files are the other half of the input problem. Customers send STEP, IGES, Parasolid, STL — sometimes all four for the same part, none matching the drawing.

Automated file checks catch the obvious issues before an estimator opens the model:

  • Unit mismatch (mm vs. inches)
  • Non-manifold edges or open surfaces (STL)
  • Missing bodies or suppressed features (STEP)
  • Scale errors (1:1000 instead of 1:1)
  • Duplicate or overlapping geometry

Pair that with a quick visual diff against the 2D drawing — tolerance blocks, thread callouts, surface finish symbols — and you eliminate a whole class of “surprise” discoveries on the shop floor.

Standardize the Clarification Loop

Even with good forms and file checks, questions come up. The difference between a smooth quote and a stalled one is how you handle them.

Don’t let clarifications live in email threads, Slack, or hallway conversations. Log every question and answer against the quote record. Tag the customer contact. Set a response deadline. If the customer doesn’t reply, the quote expires — no silent assumptions.

This also builds a knowledge base. After six months, you’ll see which questions repeat across customers. Those become new required fields on your intake form.

Measure What You Miss

Track the quotes that required post-submission changes. Categorize by missing input type: material, tolerance, finish, file issue, revision mismatch. Review monthly.

If 30% of changes are missing heat-treat specs, make heat treat a required field. If file unit errors spike after a customer switches CAD systems, add a unit confirmation step.
