Tier Your Response, Not Your Effort
Not every RFQ deserves a custom, engineered quote. Match response depth to opportunity value:
- Tier 1 — High intent, complete data: Full engineered quote, DFM feedback, lead time commitment.
- Tier 2 — Medium intent, some gaps: Budgetary range based on similar parts, clear list of missing info to firm up.
- Tier 3 — Low intent / fishing: Automated “thanks, here’s what we need to quote” reply with link to self-serve portal or FAQ.
The goal: spend estimator hours only where they move the needle. Tier 2 and 3 responses can be templated, automated, or handled by non-technical staff.
Track RFQ Source and Conversion
You can’t improve what you don’t measure. Tag every RFQ by source (website, referral, marketplace, cold email) and track:
- Quote-to-order conversion by source
- Estimator hours per won job by source
- Average deal size and repeat rate by source
Over 90 days, patterns emerge. You might find referrals convert at 40% while marketplace leads convert at 3% but consume 60% of estimator time. That’s not a quoting problem — that’s a sourcing problem.
