Does this job fit what we actually do?
The fastest disqualifier is capability mismatch. If an RFQ asks for tolerances, materials, or part sizes outside your equipment’s sweet spot, forcing it through rarely ends well. You either quote high to cover the risk (and lose), or quote normally and eat the pain in production.
Ask yourself:
- Is this part within our machine envelope and axis limits?
- Do we routinely run this material, or is it a one-off learning curve?
- Are the tolerances and finishes ones we hit consistently?
- Does the quantity match our economics — prototype vs. production?
A job that’s technically possible but operationally awkward is often a polite decline. Saying no keeps your throughput focused on parts you make well and profitably.
How serious is this buyer?
Some RFQs are real orders in waiting. Others are budgetary fishing trips, competitor benchmarking, or a purchasing team collecting three quotes to satisfy policy. You can’t always tell, but signals help.
Green flags
- Complete, clean CAD files and a clear spec
- A defined quantity and target delivery date
- A named contact who answers questions
- Repeat inquiries or an existing relationship
Red flags
- Vague scope with “just give me a ballpark”
- No drawings, no tolerances, no quantity
- Unrealistic lead times paired with lowest-price demands
- A buyer who won’t discuss their application at all
You don’t have to reject red-flag RFQs outright — but they belong lower in the queue than qualified opportunities.
Can we hit the lead time?
A perfectly priced quote is worthless if you can’t deliver when the customer needs it. Before you invest in estimating, check the requested delivery date against your current backlog and capacity.
If the shop floor is already committed and the customer needs parts next week, quoting is a waste unless you can genuinely flex. Overpromising to win the job damages your reputation more than a clean “we can’t meet that date” ever would.
When you’re short on capacity but the work is attractive, there’s a middle path: a manufacturing job board lets you push overflow to other bureaus, or pick up work when you have open machine hours. Qualifying by lead time isn’t just about turning jobs away — it’s about routing them intelligently.
Will this job make money?
Some RFQs pass every technical check and still shouldn’t be quoted — because the margin isn’t there. Low-volume, high-setup parts, punishing tolerance callouts, or price-sensitive buyers who always chase the cheapest supplier can quietly erode profitability.
Before quoting, estimate roughly where the job lands:
- Setup burden — how much fixturing, programming, or first-article work is required relative to run time?
- Material risk — are you exposed to price swings or long lead-time stock?
- Margin at the buyer’s likely target — if they’ve hinted at a budget, does it clear your floor?
- Strategic value — is this a foot in the door with a customer worth developing?
Sometimes a thin-margin job is worth it to win a relationship. But that should be a deliberate choice, not an accident of over-quoting.
