You quoted the part, won the order, and the job is running. Then the email arrives: “We need material certs for the raw stock before we can accept shipment.”

For CNC shops, sheet metal fabricators, and 3D printing services, this request is routine in aerospace, medical, defense, and automotive supply chains. But it often lands as a fire drill — chasing mill certificates, matching heat lots to work orders, and formatting paperwork while the parts sit on the dock.

The fix isn’t working faster. It’s building a lightweight, repeatable process so certs flow with the job instead of chasing it.

Know what the customer actually needs

Not every “material cert” request means the same thing. Before you scramble, clarify:

  • Mill certificate (MTC) per EN 10204 3.1 or 3.2 — the most common ask for metals. 3.1 is the mill’s own test report; 3.2 adds third-party verification.
  • Certificate of Conformance (CoC) — a supplier statement that material meets spec, without test data. Often acceptable for less critical features.
  • Lot traceability only — heat/lot numbers on the packing slip, no formal cert.
  • Full data package — chemical, mechanical, NDE reports, and sometimes raw material sourcing docs.

Ask the customer (or your procurement contact) which level applies. Over-delivering 3.2 when 3.1 suffices costs time and money. Under-delivering triggers a rejection.

Capture requirements at quote time

The quoting stage is where cert expectations should be set — not after first article inspection. Add a standard checkbox or field in your quote form:

  • Material cert required? (Yes/No)
  • Cert type: 3.1 / 3.2 / CoC / Lot trace only
  • Delivery method: with shipment / emailed prior / uploaded to portal

If the RFQ doesn’t specify, include a line in your quote: “Quote assumes no material certification required. If certs are needed, please confirm type and any added lead time/cost.” This protects margin and avoids surprise requests later.

Link certs to your purchasing workflow

Certificates originate at material receipt, not at ship. Build the connection in your procurement process:

  1. When a PO goes to your metal supplier or filament vendor, flag “certs required” on the PO line if the job demands them.
  2. At receiving, match the cert to the heat/lot on the packing slip. File it — digitally — against that receipt record.
  3. When the work order pulls from that receipt, the cert travels with it automatically.

Standardize the handoff package

Don’t reinvent the cover letter every shipment. Create a one-page cert transmittal template that includes:

  • Your shop name, order number, customer PO
  • Part number, revision, quantity shipped
  • Material spec (e.g., ASTM A240 316L)
  • Heat/lot numbers for each line item
  • Cert type attached (3.1, 3.2, CoC)
  • Signature line for your quality contact

Attach the mill cert(s) behind it. If the customer uses a supplier portal, upload the same package. Consistency reduces back-and-forth and makes you look buttoned-up — because you are.

What about additive and non-metallics?

3D printing services face a different but related challenge. Customers may ask for:

  • Material datasheets with lot-specific test data (rare but happens in medical)
  • Powder lot traceability for metal PBF
  • Resin/filament CoC for polymer prints
  • Process parameter records (laser power, layer thickness, build orientation)

Treat these the same way: capture the ask at quote, link the material lot to the build job at print time, and export the record at ship. The data lives in your build preparation software and MES — connect them so you’re not copying between systems.

Turn a compliance task into a trust signal

Shops that deliver certs cleanly and on time don’t just avoid rejected shipments — they become the supplier the buyer calls first for the next program. The operational cost is low if the workflow is built in. The revenue upside from preferred-supplier status is real.

Start by auditing your last five cert requests: where did the delay happen? Was it at purchasing, receiving, quality, or shipping? Fix that one handoff, then move to the next. In a quarter, the fire drills stop.
